Background

Since the schools left the local authority, the CFO recognised there was no complete asset register and limited information regarding the requirement of capital to maintain the standards of the buildings.

Brief

The senior leadership team approached LitmusFM to carry out a full asset survey and prepare a lifecycle plan, to include furniture, fittings and equipment.

Approach

Our LitmusFM Asset Management and Lifecycle team visited the school to carry out an in-depth collection of asset data.

Firstly, we held a workshop with St Mary Magdalene Academy SeniorManagement Team to verify what they believed should be on the register. The workshop enabled a re-evaluation of what needed to be recorded and the development of a high-level future proof strategy. The key benefit of this approach is that it confirmed a clear strategy for asset management, which included the implementation and mobilisation of an asset management and life cycle planning process, whilst maintaining a focus on value for money, efficiency and ensuring that the key deliverables were achieved.

Following the workshop, our team collated over 2,600 assets and provided the client with a 15 year lifecycle plan on the data collected.

Outcomes

The asset register has become an essential tool for pre-planning maintenance operations at the school. The maintenance team know the function of each plant item in relation to its usage within the school and arecertain that all the plant is maintained to the highest standards.

Furthermore, knowing the age of plant assets now allows for future planning for lifecycle replacement. This is important when it comes to budgeting and providing annual reports to the Education & Skills FundingAgency.

"We have been working with LitmusFM following a recommendation and they have proved to be invaluable in their role as a leading supplier of assets surveys. Asset reports have been tailored to meet our requirements and they have reported at pace any high risk items that could cause issues to the school. I would recommend their service to anyone looking to enhance their asset management." | CFO, St Mary Magdalene Academy
